How do I issue training certificates?

Last reviewed · Part of Training administration

Certificate details are captured per participant. They become visible on the Participants tab once the program reaches Completed status (Status >= 3), and are edited from the Edit Participant dialog (the pencil button on each participant row).

Certificate Fields

Field Description
Certificate Number Unique certificate ID
Issued Date Date the certificate was issued
Expiry Date When the certificate expires (triggers reminders)
Certificate File The scanned/PDF certificate itself, uploaded and attached to the participant

Recording a Certificate

  1. On the Participants tab, click the pencil (edit) button on the participant's row.
  2. Set the participant's Enrollment Status to Completed (the certificate fields appear once status is Completed or higher).
  3. Enter the Certificate Number, Issued Date and Expiry Date.
  4. Under Certificate File, click Upload file and choose the certificate document (PDF, JPG, PNG, DOC/DOCX). The file uploads immediately.
  5. Click Save to keep the certificate details and the file link on the participant.

To swap the document later, reopen the dialog and click Replace file; to detach it, click the ✕ next to the file name (then Save).

Once a file is attached, a paperclip link appears next to the certificate number in the Participants table — click it to open or download the stored certificate.

Certificate files are stored in the standard document store, linked to the participant, and are subject to the same file-type and content validation as all other Factura uploads.

Certificate Expiry Reminders

A daily HangFire job checks for certificates expiring within the configured window (Certificate expiry reminder days, default: 30 days). Notifications are sent at weekly intervals and the day before expiry.
