NGOs & donor-funded programmes

Prove what was spent, against which project, in whose currency.

A donor-funded organisation has to code every transaction to a project and a budget line, often in a currency the donor set, and show a clean ledger when asked. This is what Factura Financials does with each of those, as built.

GL Audit Monitor: 12 manual journals worth GH¢6,728,613 to review, 3 draft vouchers still unconfirmed, 1 cancelled voucher worth GH¢12,480 and 1 credit note worth GH¢3,440, with a year filter

What a donor-funded programme needs from its books

Code every transaction to a project.
Project is its own master — a name, a parent project, a status, start, end and projected-end dates, and a project value. See General Ledger →
Split spend by cost centre and cost category.
Cost centres nest under a parent with no depth limit in the code, and cost categories sit alongside them as their own master. See General Ledger →
Set a budget and compare against it.
Budgets are hierarchical, can be marked project-wise, and a budget period scopes a date range to a cost centre, a group, a ledger or a stock item. Comparing actual spend against a budget period is a reporting question — nothing in the source stops a posting that exceeds one. See General Ledger →
Work in the donor’s currency.
Currencies are a master, a ledger can be kept in one, and the resulting exchange difference is computed into the balance sheet and profit & loss. See General Ledger →
A clean ledger to show a reviewer.
The GL Audit Monitor above surfaces manual journals, unconfirmed drafts, cancellations and credit notes for the period, without a checklist someone has to remember to run. See General Ledger →

Reports they run

Trial Balance, Profit & Loss, Balance Sheet, Fund Flow and Ratio Analysis — the standard general-ledger reports, filtered to a project or a cost centre where the report supports it. There is no separate donor-report catalogue; a programme’s numbers come off the same reports every company on Factura Financials uses.

What we do not do

There is no dedicated grant-tracking or donor-compliance module. And a master literally called “Tender” exists in the system, but it is a point-of-sale payment-type list — cash, card, cheque — not a procurement or grant-bid tracker. Do not expect it to log a donor agreement.

Before you ask us

Can we track more than one donor project at once?

Yes. Projects nest under a parent, and each carries its own status, start, end and projected-end dates, and a project value.

Does the system enforce our budget limits?

Budgets set the plan, scoped by cost centre, group, ledger or stock item over a date range. Comparing actual spend against it is a reporting question, not a lock on posting.

What is the “Tender” master?

A point-of-sale payment-type list — cash, card, cheque — not a grant or donor tender log.

Built for a different sector: Trading & distribution, Manufacturing, Credit societies, Oil & gas, or back to Factura Financials.
