How do I track who has acknowledged a policy?
The Compliance tab is where you see, at a glance, who has and hasn't acknowledged a policy. It only shows data once the policy has been published at least once.
Live vs. Publish snapshot
Two view modes, each with its own headcount:
- Live view — today's resolved audience (reflects current org structure, new hires, terminations).
- Publish snapshot vN — the frozen population from the moment that version was published. This is the historical evidence view: "who did v3 apply to, on the day we published it."
Reminders are only available in Live view — the button is disabled with an explanatory tooltip in Snapshot mode, because you can't meaningfully "remind" a historical population.
The three evidence states you'll actually see
| Badge | Meaning |
|---|---|
| Acknowledged (green) | The employee personally acknowledged this exact version through ESS. |
| Carried (gray, dashed) | The employee acknowledged an earlier version, and this version's "require re-acknowledgment" was off — so their earlier acknowledgment counts. |
| Pending (amber) | No acknowledgment evidence exists yet. |
A lock icon next to the acknowledgment date means the evidence fingerprint was captured for that row.
A fourth state, "Recorded by HR" (for an acknowledgment entered manually by an administrator rather than by the employee), exists in the data model and would render with its own distinct badge — but there is currently no screen or action that lets HR create one. Every acknowledgment you see today came directly from the employee through ESS.
Separated employees drop out of the "pending" count (there's no one left to chase) but their historical acknowledgment rows are kept permanently — they're marked "(separated)" rather than removed.
Send Reminder shows you the current pending count — as covered in §1, it doesn't send an email today; use it to see who still owes an acknowledgment, then follow up yourself.
There is no "export evidence package" file download in the current build — reviewing evidence means reading the on-screen grid. Employee IP addresses are captured on every acknowledgment as supporting evidence but are not displayed or exported anywhere in the interface.
